Enabling Peppol

Enabling Peppol In Your Equstable Account

To start sending e-invoices via Peppol, you first activate Peppol in your Equicty Equstable settings under company information. After this one-time setup, your stable entity is registered for Peppol, and you can keep using other invoicing tools if you wish for sending, while receiving via Peppol is configured in just one primary tool. This approach keeps your configuration simple while ensuring incoming and outgoing e-invoices are routed through a single, secure channel.

Quick Tip: Navigate to Equicty Equstable → Settings → Company information → Peppol status to check if you are active.

Sending Invoices via Peppol

Once Peppol is enabled, sending is straightforward: open the invoice in the main Invoicing module, make sure it is booked, and choose the option to send via the Peppol network. Equstable handles the Peppol formatting and transmission in the background, so from your perspective it feels like sending a normal invoice. If a customer is not on Peppol yet, you can still send the same invoice by email or post without changing your internal process.

  1. Go to the Invoicing module and select the Invoices section.
  2. Open the specific invoice you wish to send.
  3. Crucial Step: Ensure the invoice is marked as Booked.
  4. Click Send.
  5. Select Send via Peppol network.

Requirements for Sending

For a Peppol invoice to be accepted, a few conditions must be met on the Equstable side. The invoice must belong to a Belgian or Luxembourgish company entity in your account for which Peppol is enabled, and the customer must be based in Belgium, the Netherlands, or Luxembourg. The customer also needs a valid VAT or company number and must be registered on the Peppol network; Equstable automatically checks the Peppol database and alerts you if the customer cannot be found.

Equstable will automatically search the Peppol database for your client, but you should ensure the following:

  • Your Entity: The invoice must come from a Belgian or Luxembourgish entity within your Equstable account (with Peppol enabled).
  • The Customer: Must be Belgian, Dutch, or Luxembourgish.
  • Data: The customer must have a valid VAT or company number on their contact page.
  • Registration: The customer must be registered on the Peppol network.

What if the customer isn’t on Peppol? Don’t worry. Equstable will alert you if the customer isn’t found. In that case, you can simply revert to sending the invoice via email or post.

Adding Attachments

Every Peppol invoice from Equstable automatically includes the PDF version of the invoice so your customer has a human-readable copy. You can also add supporting files such as agreements, overviews, or spreadsheets, with up to five attachments and a total maximum size of 100 MB in formats like PDF, PNG, JPG, XLSX, and CSV. Equstable bundles all of these into a single UBL e-invoice file so the customer’s system receives everything neatly packaged.

  • Total Limit: Max 5 attachments (including the main invoice).
  • Size Limit: 100 MB total.
  • File Types: PDF, PNG, JPG, XLSX, CSV.

Note: All files are bundled into a single UBL file for secure transmission.

Important Notes: Avoiding Mistakes

The Peppol network is strict to ensure security and accuracy. Keep these rules in mind to avoid administrative headaches:

  • One-Shot Sending: An invoice can only be sent once via Peppol. Resending it will create a duplicate and confuse your client’s accounting software.
  • Corrections: If you made a mistake or a typo, do not try to resend the invoice. Instead, create a Credit Note and send that via Peppol.
  • Reminders: If a client hasn’t paid, send a reminder via email, noting that the official invoice was already delivered via Peppol.

Tracking Status and Accounting

Once sent, you aren’t left in the dark. You can track the lifecycle of your invoice directly in Equstable.

Understanding Statuses:

  • Sent / Accepted: The invoice has landed safely.
  • Rejected / Sending Failed: There is a data error you need to fix.
  • Payment Initiated: The customer has flagged it for payment (Note: This does not guarantee the money is in your bank account yet).

Does Peppol update my accountant?

Sending via Peppol means your invoice is officially and digitally delivered to the customer, but it does not automatically push that invoice into your own accounting software. Peppol’s role is secure, legally compliant exchange between parties, not bookkeeping or archiving in your system. To keep your accountant in the loop, Equicty lets you configure a unique autoscan or accountant email address so every time you send an invoice, a copy is forwarded directly to your accountant’s system for import. This is a common misconception. Peppol delivers the invoice to your customer, not your accountant.

To ensure your accountant stays in the loop:

  1. Go to Settings → Invoicing.
  2. Configure the Autoscan Email Address (provided by your accountant).
  3. Equstable will automatically email a copy to your accountant every time you send via Peppol.

Peppol Rules In Belgium And Across Europe

In Belgium, B2B invoices must go through Peppol, and B2G invoices to public entities in Belgium, the Netherlands, and Luxembourg must also be sent via Peppol. With Equstable, you can handle those public-sector invoices from the same interface you use for private clients, without logging into government portals or uploading files manually. For customers in other countries where Peppol is not yet mandatory, you can still send invoices by email, while Belgian companies remain obliged to use Peppol when billing Belgian businesses.
